What is Dedicated Virtual Assistance?

Each of our plans include a dedicated virtual assistant (VA). You'll work with your VA on a one-to-one basis, continually submitting tasks directly to this person. Your VA will grow to know you, your work, and your preferences all while learning to anticipate your needs without you having to repeat yourself. Our VA’s are a shared resource among many clients. They schedule their days to best serve you and your incoming tasks with priority and without delay. Turnaround time depends on the complexity and urgency of each project. If your project is time sensitive, a deadline will be agreed upon before work begins. Our Virtual Assistants are committed to delivering all projects on or before the deadline. Most simple tasks are completed within hours.

 

Are there any hidden cost or commitments period?

No! Your monthly subscription fees cover the use of equipment, office space and employee's salary. Also, there are no commitments or contracts to bind you to us. Plans are on a monthly basis, and once you choose to stop using our services, you may unsubscribe anytime. Note: unused hours must be used by the end of your billing cycle.

Why do I need to enter my credit card for the free trial? 

The reason we have you enter your credit card information for the Free Trial is so your VA can continue to do work for you once the trial is complete. Note: Your resource manager will confirm you want to continue first.

Why do I need a monthly Plan? 

The reason we have Monthly Plans is for your benefit, so there is no irruption in service and you always have your VA on standby to assist you at any time during the month.

What happens after I sign up? 

First, welcome to Vessential! Please allow up to 8 hours for your account to be set up and to be assigned a dedicated VA. Once this process is completed, we will email a form that will help your Resource Manager better understand of your personal preferences and working style. While your account is being set up, it is a great idea to prepare a list of tasks you would like to outsource to your VA, as well as write down all instructions and requirements you would like your Virtual Assistant to follow.

 

How are hours recorded and tracked? 

We use advanced time tracking google doc forms to ensure the most accurate time tracking possible. All tasks which are completed for you are time tracked – meaning your VA will Start Timer when he/she begins working on your task and Stops Timer when the task is completed or VA has switched to a different task. You will get weekly reports on total amount of hours used. You can rest assure that you will only be charged for work performed and not a second more. This provides you with the highest transparency in the industry.

Do my hours roll over?

Yes. Unused Plan hours roll over to next month as long as you remain a subscriber.  Maximum monthly rollovers hours are limited to the Plan hours (i.e. Maximum Project Plan rollover is limited 20 hours). Exception: Task Plan

Which Plan is best for Web Development? 

Web development is a time intensive task so you will need the Executive Plan for any of the following service; Marketing & Advertising, Website, Graphic Design, Video & Audio Editing. Also let us know in the Request A Consultation for this type of VA Service.

 

What happens if I run out of hours in my plan? 

No need to worry. If you ever need more hours during a particular month, your VA will simply track the additional hours, which will be billed at the end of your billing cycle. There are no extra charges or fees and the rate is always fixed at your current subscription hourly rate. If you need a lot more hours then you have the option to upgrade to the next plan up at a prorated rate.

 

Will my VA work on the weekend? 
Our VAs work standard business hours, Monday through Friday. Just make a special request to your VA for Saturday and Sunday work, these days are available on needed basis. You can submit your tasks anytime, day or night, weekday or weekend. If submitted before/after business hours, your VA will receive the task(s) the following business day to begin working on them.

 

Can my VA use my calendar? 
Absolutely. Your VA can coordinate meetings, schedule appointments, and manage your Google Calendar with ease. Simply share and grant your VA access to manage your calendar. It's that simple!


Can my VA make outbound phone calls? 
Yes. Your VA is happy to contact vendors, make reservations, and place phone calls for you.

 

Does my VA take inbound calls?
Our service is geared to entrepreneurs, business owners, and busy individuals who need help with their everyday tasks online. It is important to understand there are certain limitations of what you can use our service for at this price level: We are not a call/chat center, so your V.A. will not be available to accept incoming calls and chats.

 

Will my VA keep my inbox organized? 
They can! Delegating your Gmail inbox to your VA to read, send, and delete messages on your behalf is a great way to stay on top of email and keep your inbox tidy.

 

Will my VA edit and format a presentation? 
They sure can. Your VA can use Google Presentations to format and edit personal or business presentations.

 

Will my VA work with my PM tools or other custom software? 
While we do not offer specific training for custom software, our VAs are more than happy to assist if you are able to provide instruction. Please note that we are unable to provide support for any software requiring local desktop download.

 

Will my VA help with accounting? 
Your VA will happily find you an excellent bookkeeper or CPA. However, due to certain legalities and a specific knowledge of the domain, VAs are unable to provide assistance with Quickbooks or other accounting tools.

 

What are the service limitations? 

We have built an incredible team of highly skilled assistants to help you with your everyday tasks, such as graphic design, administrative tasks, website maintenance, video editing, podcast editing, online research, social media, advertising and marketing and so on. We have found the most successful use of our VAs happens when clients know what exactly what they need help with and have a workflow in place to delegate tasks. Here are a few items VA can’t do in-person tasks, legal, accounting, HR and staff management.
